Privacy Notice

1. What we need

We from Divio are pleased to receive applications from qualified candidates via our careers page. As a candidate please send us only the application information, which we ask for in the associated registration form to a corresponding job. We request this information in order to be able to assess the experience and skills of a candidate and to determine their suitability for a position, which includes identifying suitable candidates, evaluating and qualifying applications, contacting candidates and taking hiring decisions.

The protection of applicants' data is very important to us and we attach great importance to the confidential treatment of applicants' information. We use data submitted to us by applicants only internally for recruitment purposes within the responsible members of the hiring team.

2. What we do with it

As recruiting system we use Workable. Workable is a GDPR compliant UK registered company with a subsidiary in the US. Workable customer data is stored with Amazon Web Services (AWS) in the US. Workable and AWS have signed a Data Processing Agreement that incorporates a model clauses contract. This contract includes a standard set of provisions defined and approved by the European Commission to ensure that personal data can be transferred securely by Workable in Europe to AWS in the US.

Workable uses automatic social media profile retrieval. Nevertheless for recruiting purposes we can view only the information that candidates and prospects have chosen to make available and we may process social media profile information if there is legitimate interest.

No third party providers have access to your data on our system, unless specifically required by law.

3. How long we keep it

Unless otherwise communicated, data will be permanently deleted from our recruiting system within 90 days after a position has been closed. If we want to continue to save submitted application information after a vacancy has already been closed, we will explicitly point this out to candidates. This may be necessary, for example, if we want to reconsider candidates for other jobs at Divio.

Personal data may also be retained for a longer period of time once it is prescribed by legal retention obligations. Retention obligations that require us to retain data arise from regulations relating to regulatory law requirements, reporting law, accounting, and tax law.

If a candidate is hired, the data will continue to be stored for employment purposes. Please see Data Retention Policy for more information on our personal data retention schedule.

4. What are your Rights?

Should you believe that any personal data we hold on you is incorrect or incomplete, you have the ability to request to see this information, rectify it or have it deleted. You can yourself withdraw your application or have your data deleted at anytime during the recruiting process by using the link to withdraw the application in the confirmation email that you receive. For any corrections or other requests during the recruiting process please contact us directly via Email at jobs@divio.ch.

In the event that you wish to complain about how we have handled your personal data, please contact our representative in the European Union, CEO, Jon Levin at jon.levin@divio.com, who will then look into your complaint and work with you to resolve the matter.
